How to Run a Live Sports Player Auction: A Step-by-Step Guide for League Organisers

To run a live sports player auction, set everything up before the day (registration, categories, teams with purses, base prices and rules), then on the day bring up one player at a time, let team owners bid against their remaining purse, close each sale on a countdown, and update squads on screen before the next player. The live part goes smoothly only when the setup is complete.

We built PowerAuction for league organisers, and this guide reflects how the product structures an auction.

What do you set up before auction day?

  1. Registration: a shareable form link (WhatsApp, email, social, URL), with an optional registration fee and paid/pending status per player.
  2. Categories: group players by role or level.
  3. Teams: create teams, assign owners, set each purse.
  4. Base prices and rules: opening prices, squad size, bid increments, unsold-player rule.
  5. Screens and sponsors: a main display, sponsor logos if you have sponsors.

How does the live bidding run?

The operator controls the room from one console: they choose the next player or use spin-to-select, show the player card with the base price, and run the countdown. Team owners bid from their own devices. When the countdown ends, the highest bid wins, and the price comes off that team's purse.

What do team owners need to see?

Each owner needs their purse, amount spent, amount remaining, players acquired against the squad maximum, and their current squad. In PowerAuction, each team gets a private dashboard with exactly this, and owners confirm before a bid is sent.

Why do spreadsheets break on auction day?

A spreadsheet can track purses, but in a live room it is updated by one person while ten people ask questions. Bids get missed, a purse goes negative, and the screen everyone watches falls behind the sheet. A real-time system keeps one source of truth on the main screen and every owner's dashboard at once. That real-time sync is the hard engineering part; it is the kind of work our SaaS product engineering team does.

How do you keep squads balanced?

Use categories with minimum picks per team, a squad maximum, and a reserve rule so no team spends itself out of filling its squad. Keep remaining purse and squad count visible to everyone.

What happens after the last player?

Review final squads, purse allocated versus spent, highest and average prices and team spend. PowerAuction's analytics cover these.

Frequently asked questions

How do you conduct a cricket player auction?

Register players, place them in categories, create teams with purses and base prices, publish rules, then auction players one at a time with a countdown, deducting each winning bid from the team's purse.

What software can run a live player auction?

PowerAuction, built by InRay Labs, runs registration, team purses, a live operator console, team owner dashboards and post-auction analytics.

How long does a player auction take?

It depends on the number of players and the countdown length. Rehearse with a few test players to estimate your timing.

Can team owners bid remotely?

In PowerAuction, each team owner bids from a private dashboard on their own device.
